Using Outlook Express

 

Week 1

 

Creating a new email

 

Step one - Control N will take you quickly to step four.

 press the Alt key.

Step two - press right arrow to message menu, then press down arrow.

Step three - At new message choice, press enter.

Step four - type in the email address and press the tab key.

Step five - type the cc email address and press the tab key.  If you want to do a Blind CC, press Alt B to turn it on and Alt B to turn it off.

Step six - type the subject and press the tab key.

Step seven - type the body of the message and use spell check if needed. If you have MS Word, F7 is the spell check hot key.

Step eight - press Alt key, arrow down to send message choice and press enter.  Alt S is the send message hot key.

 

*** If you want a read receipt, make sure you have typed the message in the body of the email, and then:

 

Step one – Press the Alt to activate the menu bar,

Step two – Right arrow until you hear Tools and press the down arrow,

Step three – Down arrow until you hear Request read receipt, and press enter.

 

Reading an email message

 

Step one - when you are on the message, press enter.

Step two - use basic movement commands to read message.

Step three - when finished, press the escape key.

*** at that point, you can delete, reply, or forward the message. ***

 

Replying to an email message

 

Step one - Control R moves you quickly to step four.

 press the Alt key.

Step two - press right arrow to message menu, then press down arrow.

Step three - At reply message choice, press enter.

Step four - type the body of the reply and use spell check if needed.  If you have MS Word, F7 is the spell check hot key.

Step five - press Alt key, arrow down to send message choice and press enter.  Alt S is send message hot key.

 

Forwarding an email message

 

Step one - Control F will take you quickly to step four.

 press the Alt key.

Step two - press right arrow to message menu, then press down arrow.

Step three - At forward message choice, press enter.

Step four - type the person's email address.

Step five - press Alt key, arrow down to send message choice and press enter.  Alt S is send message hot key.

 

Blocking a sender

 

Step one – Alt M will take you quickly to step four.  Press the Alt key.

Step two – Right arrow until you hear Message,

Step three – Press the down arrow to open up the menu,

Step four – Down arrow until you hear Block Sender and press enter,

Step five – You will be prompted, “are you sure you want to add so and so to the blocked sender’s list.  At the okay prompt, press the spacebar,

Step six – You will then be asked, “do you want to delete so and so”.  At the prompt, press the spacebar.

 

Removing an email address from the Blocked Senders List

 

Step one – Alt T will take you quickly to step four.  Press the Alt key.

Step two – Right arrow until you hear Tools,

Step three – Press the down arrow to open up the menu,

Step four – Down arrow until you hear Message Rules and press right arrow to open up the sub menu,

Step five – Down arrow until you hear Blocked Senders List and press enter,

Step six – This will bring you into the Blocked Senders page of the dialogue box.  You will be in a list view of blocked senders.  Arrow down until you find the proper email,

Step seven – Press the tab key to the remove button, press spacebar, and you will be asked, “are you sure…”  At the prompt, press the spacebar.  If you want to remove another email, tab to the list view, and repeat steps six and seven,

Step eight – Press tab until you hear the okay button and press the spacebar.

 

Week 2

 

Creating folders

 

Step one – press control shift E to move quickly to step four,  Press the Alt key,

Step two – You will hear File so down arrow to open up the menu,

Step three – At the New sub menu, press the right arrow, down arrow to folder and press enter,

Step four - type in the name of the folder and press enter.

 

Moving emails to a folder

 

Step one- move to the email message.

Step two – press control shift V to go to step five. Press the Alt key,

Step three – Right arrow until you hear Edit, then press the down arrow to open up the menu,

Step four – Down arrow until you hear move to folder and press enter,

Step five - arrow up or down until you find the folder and press enter.

 

Moving to a folder

 

Step one – Press control Y,

Step two – Arrow up or down to the folder and press enter,

Step three – When finished, press control I to go back to the Inbox.

 

Finding an email

 

Step one – Make sure you are in the folder where you think the file resides.

Step two – Press control shift F to go to step five, or press the Alt key.

Step three – Right arrow to the Edit menu and press the down arrow.

Step four – Down arrow to the Find menu choice, press the right arrow, and at the message choice, press enter.

Step five – You will be in the Find dialogue box. Tab to the From, To, or Subject edit field and type in the find text string and press enter.

Step six – You can delete these emails or move them to another folder.

 

Week 3

 

Inserting an attachment

 

When you are through typing the body of your email message:

Step one - press Alt I to quickly go to step three, or press the Alt key.

Step two - right arrow to the insert menu, and press the down arrow.

Step three - press enter at the file attachment menu choice.

Step four - type the path to the file and press enter.

Step five - press shift tab to go to the list view of files.

Step six - arrow down to the file and press enter.  This will attach that file to the email message.

Step seven - If you want to attach another file, repeat the above steps, or you can send the message.

*** If you don’t know the path to the file, go to the Look In combo box, arrow up or down to the file location, press enter, then press tab to the list view to get the file. ***

 

Opening an attachment

 

Step one – open the email by pressing enter,

Step two – Press insert A to get a list of attachments,

Step three – Press enter to open the attachment.

*** Sometimes you may hear “some attachments may contain viruses.  Do you want to open or save this attachment”.  Arrow up to the open choice and press enter. ***

 

Saving an attachment

 

Step one – press the alt key.

Step two – down arrow to the save attachment menu choice and press enter.

Step three – press the tab key until you hear save button.  Press the spacebar and the file attachment will be saved on the computer.

 

Week 4

 

Deleting an address from the address book

 

Step one – Press the tab key until you get to the address book list of people,

Step two – Arrow down to the address and press the delete key,

Step three – You will hear the prompt, “are you sure…”, at the prompt press the spacebar,

***  If you wish to delete another address, repeat steps two and three. ***

Step four – Once you’re done, press the tab key until you hear the message list view of the Inbox.

 

Adding an address to the address book

 

Step one – Move to the email of your choice,

Step two – Press Alt T to go to step three, or press the Alt key,

Step three – Right arrow until you hear Tools, then press the down arrow,

Step four – Down arrow until you hear add sender to address book and press enter.

*** If you just have the person’s email address, we need to use the following steps to add them to your address book. ***

 

Step one – Press control shift B to get to step four or press the Alt key,

Step two – Right arrow until you hear Tools and press the down arrow,

Step three – Down arrow to Address Book and press enter,

Step four – Type control N for a new entry into the address book and this will bring you to the properties page of the address book dialogue box and the name field,

Step five – Tab through the edit fields and enter the information, and once this is done, tab to the add button and press the spacebar,

Step six – Tab to the okay button and press the spacebar.

*** If you want to enter another entry, repeat steps four, five, and six.  ***

Step seven – Once you are done entering address’ into your address book, press the escape key.

 

Exporting your address book

 

Step one – Press control shift B to get to step four or press the Alt key,

Step two – Right arrow until you hear Tools and press the down arrow,

Step three – Down arrow to Address Book and press enter,

Step four –Press the Alt key, arrow down to export, press the right arrow, and at address book press enter,

Step five – Type in the location and name of the address book, press the enter key, and after a few seconds, you will hear a prompt that says your address book was successfully exported.  At the okay prompt, press the spacebar,

Step six – Press the escape key to return to the main Outlook Express area.

 

Week 5

 

Creating an email group

 

Step one – Press Control Shift B to go to step four, or press the Alt key.

Step two – Right arrow until you hear Tools, and then, press the down arrow.

Step three – Press the down arrow until you hear Address Book and press enter.

Step four – Type control G, or press the Alt key, down arrow until you hear New group, and press enter.

Step five – Type in g. followed by the group name and press the tab key.

Step six – At the Select members button, press the spacebar.

Step seven – Press the tab key until you hear address list.  This will be a list of people in your address book.

Step eight – Arrow through the list, and when you get on a member you want in the group, press Alt T to select them for the group.

Step nine – When you are through adding to the group, tab to the okay button and press the spacebar.

Step ten – Tab to the okay button, press the spacebar, press the escape key, and you will be back in the Inbox list view.

 

Modifying the email group

 

Step one – From the Inbox list view, press the tab key until you are at the address book.  If your address book listview is not shown, press control, shift, B to bring up the address book area.  Press the tab key once to get to the address book listview.

Step two – Move to the email group and press Alt enter to open up the group properties.

Step three – If you want to remove an email from the group, arrow to the name, tab to the Remove button, press the spacebar, or use the delete key or Alt V to remove the item.

Step four – If you want to select a new member for the group, follow steps 6, 7, 8, and 9 from the previous instructional section.

Step five – When you are through, tab to the okay button, press the spacebar, and you will be back in the Inbox address book area.

 

Week 6

 

Creating a new identity

 

Before you can create a new identity, you need five things from your ISP.

  1. A new email address,
  2.  The password for the new email address,
  3.  The pop3 server information,
  4.  The smtp server information, and
  5.  Whether your ISP requires logon using secure password authentication.

 

Step one – Press Alt F to bring up the file menu.

Step two – Down arrow to identities, press the right arrow to open up the sub-menu, arrow to the add new identity choice and press enter.

Step 3 – Type the name of the identity and press the tab key.  You will be at a check box that will allow you to have a password for this identity.  If you don’t want a password, press the tab key to the okay button and press the spacebar.  You will get a message that the identity has been added and do you want to switch to the new identity.  Press the spacebar at the yes button.  *** If you are on dial-up, you may be asked to re-dial the ISP. ***

Step four – Another dialogue box will come forth, so type in the display name for this identity, tab to the next button and press spacebar.

Step five – Type in the email address, press tab to the next button and press spacebar.

Step six – Type in the pop3 information, press the tab key, type in the smtp information, press tab to the next button and press spacebar.

Step seven – You will be at the account name, so press the tab key, type in the email password, and press the tab key twice.  *** You will be at a check box, and your ISP can tell you if you need secure password authentication. ***  If you do, press spacebar to check the choice.  If not, tab to the next button and press spacebar.

Step eight – At the finish button, press the spacebar.

 

Switching identities

 

Step one – Press Alt F to bring up the file menu.

Step two – Arrow down to the switch identities menu choice and press enter.

Step three – Arrow to the identity and press enter.
